Lodgequest Operations Limited respects the privacy of its staff and guests when they use the Organisation’s services and is committed to complying with privacy legislation

What is Personal Information?

What are Special Categories of Personal Information?

Special categories of personal information are types of data that require extra protection due to their sensitive nature. These categories are more likely to pose a risk to an individual’s rights and freedoms if misused.


This type of information may include:


  • Sexual orientation and sexual health
  • Religious or philosophical beliefs
  • Racial or ethnic origin
  • Physical or mental health conditions
  • Trade union membership
  • Political opinions
  • Genetic or biometric data (when used for identification purposes)


How we limit the use of personal information

Lodgequest Operations Limited processes personal data only when necessary to deliver our services effectively.  Wherever possible, we take steps to protect your privacy by anonymising, pseudonymizing, and de-personalising the data.  This means the information can no longer be used to identify an individual.  

When personal data is used for research purposes, it will be anonymized or pseudonymised to prevent identification - unless you have specifically agreed that your personal information may be used for the research project.


We do not sell personal data to any other organisation for marketing or product sales purposes.


Your privacy rights

Accessing the Information we hold about you


You have the right to request all the personal information we hold about you. When we receive a request in writing, we are normally required to provide you with access to everything we have recorded about you.


However, there are some exceptions.  We may withhold parts of your record if they contain:

  • Information that a qualified professional believes could cause serious harm to your or someone else’s physical or mental wellbeing

Changing information you believe to be inaccurate

If you believe that any information we hold about you is incorrect or misleading, please let us know. While we may not always be able to change or remove the information especially if it forms part of an official record, we will correct any factual inaccuracies where appropriate.

Requesting Deletion of Your Information (Right to Be Forgotten)

In certain circumstances, you have the right to request that the organisation erase your personal information. This is sometimes referred to as the "right to be forgotten."

You may request erasure of your information when:

  • The personal information is no longer needed for the purpose for which it was originally collected
  • You have withdrawn your consent (and there is no other legal basis for processing your information)

Who will we share your personal information with?

We work with trusted companies and partners who help us store or manage personal information. In all such cases, we have contracts, memoranda of understanding, or information-sharing agreements in place to ensure compliance with data protection laws. Before sharing any personal data, we conduct privacy impact assessments to confirm their adherence to legal requirements.

Sometimes, we have a legal obligation to share personal information with other organisations, such as the police or under court orders.

We may also share your personal information without your permission in rare cases where we believe there is a greater public interest or risk, including:

If Your Information Leaves the Country

When this happens, we apply additional protections during the transfer to safeguard your data. If the receiving country does not have an adequacy decision from the European Commission, we will seek guidance from the Information Commissioner’s Office before proceeding with the transfer.

How Long Do We Keep Your Personal Information?

For each purpose we use your personal information, there is often a legal requirement that dictates how long we must retain it. We document these requirements in a retention schedule, which outlines how long your information may be kept for each service or activity.

This schedule ensures we only keep your data for as long as necessary and securely delete or anonymise it once it is no longer needed.
